Responsibilities*

  • Acts as the central administrative point for incoming and outgoing specimens; receives, inspects, accessions, documents, labels, and catalogs objects acquired for collections; makes notes on condition of specimen(s); oversees deaccession procedures in compliance with collection management policies.
  •  Manage loans and transfers of specimens from the collection.  Works collaboratively with collection managers and curators to coordinate, schedule, ship, and monitor the safe and legal movement of specimens for outgoing and incoming loans.
  •  Manages the purchase and renewal of specimen permits; ensures compliance with federal, state, and local laws relating to zoological and herbarium collections management.  Report activities to federal, state, and local agencies as required on an annual basis.
  •  Educate and update faculty, staff, and students annually on changes in regulations and guidelines for the import/export of specimens and other compliance areas; develop and implement a process to monitor compliance for faculty, staff, and students and provide regular training.  Act as a resource to department regarding collecting specimens.
  • Oversee scanning and databasing of museum paper documents.
  • Work collaboratively with collection managers and curators to standardize forms, templates, and processes across the Museum of Zoology and Herbarium.
  • Monitor high-priced assets; work with Risk Management to obtain appropriate insurance coverage for high-priced or valuable specimens and other assets.

Required Qualifications*

Bachelor’s degree in biology, botany, zoology, or other related field is required; advanced degree is strongly preferred.  3-5 years of museum collection management or related experience is required.
