Privacy Policy

Preamble: The Society for the Preservation of Natural History Collections (SPNHC) values your security and your privacy. SPNHC understands that protection of privacy is a priority to our visitors and members. Your trust is essential for SPNHC to operate successfully and fulfill its mission. As such, we endeavor to exceed the expectations of the law in our efforts to protect your data. This privacy statement explains how your information is collected and managed.  

In formulating of this policy, SPNHC has addressed the requirements of U.S. 1974 Privacy Act and European Union General Data Protection Regulation.

Purpose and Consent: Whenever information is collected by SPNHC, you will be, or will have been, asked to provide consent.  The purpose for data collection will be clear.  If you are a SPNHC member, you are able to review and edit your online settings. See the section, “How to Access, Modify or Delete Your Personal Information” for directions.

Limitations: No information shall be used outside of the stated intent for which it was collected. The stated intent will be defined within this document and reiterated at the time of collection. 

Collection of Non Personally Identifiable Information: Upon visiting the SPNHC website the following information is automatically collected:

  • IP address of the visitor’s computer 
  • Domain name of the visitor
  • Browser and Operating System specifications 
  • Date and time of access 
  • If appropriate, URL of website from which you have been referred.

This information is stored as an aggregate and cannot be utilized to monitor individual visitors. An IP address cannot be used to identify users without the cooperation of the users’ ISP. None of this information is associated with identifying information regarding SPNHC website users. 

The SPNHC website contains the option to consent to cookies.  Cookies allow us to monitor the way in which the site is used, and to store information that will be used to improve the website and access to SPNHC information. SPNHC may use cookies to store history about the parts of our site that you have visited to help you navigate our site more easily or to alert you to related pages on the site that may interest you.  SPNHC does not use cookies to obtain information about other websites that you may visit.  You may opt out of cookies if you wish.

Collection of Personally Identifiable Information: Personally identifiable information is collected by SPNHC for the purposes of membership and includes the following:  

  • Name 
  • Phone number
  • E-mail address
  • Home or work address
  • Name of the organization with which you are affiliated 

SPNHC does not directly handle your credit card data; all transactions are conducted through PayPal, whose privacy policy can be viewed here.

SPNHC uses your personal information for membership communications such as annual renewal notices and for promoting organizational projects such as new publications.  Submitted information is shared with SPNHC members by default for the purposes of networking, but the user may choose to opt-out.  As a benefit of membership, all members may access the information of all other members.  However, any member has an option to exclude their personal information from the website, but may lose the ability to view others information as well (see the following section). 

How to Access, Modify or Delete Your Personal Information: You may review and update your Personal Information through the SPNHC website.  You may exclude your personal information from the SPNHC mailing list and/or exclude your personal information from the online membership directory.  The Membership Directory is viewable by other SPNHC members.  

If you are not able to change your opt-out settings or update your personal information electronically, please send a letter to the address below and request to opt-out.  Please provide us enough information to process your request.

If you request that SPNHC remove all of the personal information stored in your membership profile, we will promptly do so; however, you will not be able to use or receive many of the services available via the SPNHC web site. 

If your record contains information concerning donations made to the organization, SPNHC may not be able to remove this information legally from all of our systems of records.  

3rd Party Disclosure: User information will be disclosed to third parties in certain situations. For example, the compiled data may be sold to third parties that have a mission or sell a product that is compatible with the promotion of stewardship of natural history collections, as determined by SPNHC Council.  Please bear in mind that by default a member’s contact information and other community-available data is presented to other SPNHC members.   Please refer to the sections, “Collection of Personally Identifiable Information” and “How to Access, Modify or Delete Your Personal Information” for further information.

Exceptions: SPNHC will disclose user information when required by a United States legal authority.

Changes to the Privacy Statement and Changes in Ownership: SPNHC may change or supplement the SPNHC Privacy Statement periodically.  Changes to the SPNHC Privacy Statement will apply to the information collected from the date the revised privacy statement appears on the site.

SPNHC will obtain consent if we seek to collect, use or disclose personal Information for purposes other than those for which prior consent has been obtained.

Spam: SPNHC complies fully with the Controlling the Assault of Non-Solicited Pornography and Marketing Act of 2003 (CAN-SPAM Act). To this end, SPNHC:

  • Never uses false or misleading header information in any e-mail message; 
  • Never attempts to deceive e-mail recipients by using deceptive subject lines; 
  • Never uses automated means to harvest e-mail addresses from websites or web services; and
  • Never generates e-mail addresses using programmatic methods.
